大家好,我是Joy董佳,万礼豪程项目总监,工作地点在上海。欢迎阅读会议服务活动策划统筹贴士专栏。在过去三年里,万礼豪程相继在天津、宁波、上海举行了三届教学研讨年会,每次会议服务活动之后,好评如潮,各方的意见和反馈帮助我们每次会议服务活动都有新的突破和超越。
 
作为会议服务活动主要的组织活动策划者之一,很多院校领导和教师都和我提及,想了解更多关于我们每年筹备会议服务活动的过程和细节。为了弥补在与会现场无法具体交流的遗憾,我想提笔将一些会议服务活动策划筹备的细节通过万礼豪程微信平台陆续发布。
 
首先,每次会议服务活动无论大小都有筹备工作小组,会议服务活动的成功肯定是团队协作努力的结果。
筹备工作小组的团队成员技能互补,各显神通。那么来看看万礼豪程年会筹备小组是如何构成的。
 
对于几百人会议服务活动这样一个巨大项目,我们每个团队成员的贡献是:嘟教授和司马博士具有非常扎实的酒店旅游专业学术背景;袁诗琳Linda女士负责所有内部与外部的传讯事务,小陈Caron擅长视觉、设计、高科技等方面的运用,小刘Sarah仔细耐心,担当了行政文档工作的任务。我本人在酒店行业工作多年,对营运部门、会务策划比较熟悉。我们分工合作、各显神通。
 
在筹备小组形成之后,我们来进行会务策划统筹的第一步:需求分析。
可以用以下问题来分析会议服务活动的方方面面:
 ?你想通过举行会议服务活动达到什么目的?
 ?为什么需要举行会议服务活动?是教育型的、鼓励性质的、社交公关型、政府需求、会展型等等?
 ?会议服务活动的参会者是哪些?
 ?会议服务活动举行多久?
 ?会议服务活动举行的日期大致有哪些选择?
 ?会议服务活动倾向于在哪些城市举行?
 ?举行会议服务活动的理想场所是什么?酒店、会展中心、度假区域?
 
2018年,当我们筹划第一届万礼豪程教学研讨会的时候,我们提前8-9个月利用拜访学校的机会与院校领导、一线教师进行沟通,询问他们对哪些议题感兴趣,有哪些教学上的困难是我们可以帮助解决的。在获取大量一手资料之后,我们基于参会者的期望开始设计会议服务活动日程。
 
要通过多种形式获取信息,如讨论小组、调查问卷、邀请主要参会代表进行在线会议服务活动等,这一点在你筹备策划第一次会议服务活动的时候显得尤为重要。
 
我们每届会议服务活动召开的时候,通过问卷获得大量的信息和建议,这就让第二届、第三届会议服务活动筹备工作变得相对轻松。
 
需求分析是整个会议服务活动统筹策划中关键的一个步骤,需要工作小组孜孜不倦地收集信息并群策群力为后面的工作做好铺垫。请记住,如果你的会议服务活动脱离了参与者的需求,那么会议服务活动本身就不会有太大成功的可能。

Conference Planning Tips are now ON!
Part I of the Series: Needs Analysis
Hello, I am Joy Dong, CHEI Project Director based in Shanghai. Welcome to Conference Planning Tips. Over the past three years, CHEI has successfully held annual teaching conferences in Tianjin, Ningbo and Shanghai. Each year, we receive so many positive comments and great feedback, which have helped us improve the following year’s conference. 
 
As one of the key organizers, I met school administrators and teachers during the conference who were very interested in learning how CHEI organized the event and managed all of the details.

First of all, each conference must have a planning work group. The success of the conference is really a team effort. And different team members are selected based on each one’s skill set and diverse talents. Please allow me to use our CHEI Annual Teaching Conference work group as an example.
 
Each team member brings expertise in a different area to the project:  Professor Lamke and Dr. Nick – strong hospitality and tourism academic knowledge;  Linda Roundtree – internal and external communications skills; Caron Chen – visuals, design and high technology strengths; and Sarah Liu - detail orientation and administrative skills. And I have many years of hotel work experience and am familiar with the operating procedures of all departments and event companies. That is how we divided our tasks – along the lines of expertise – among team members.
 
After the conference planning work group is formed, it’s time for the first step of the planning process—needs analysis.
 
Create a list of questions to analyze various aspects of the conference. For example:
What is the objective? In other words, what will you try to achieve by holding the conference?
What is the purpose of the conference? Is it going to be educational, incentive, social, government required, exhibition, etc.?
Who will be your audience?
How long is the conference?
What are the preferred dates?
What are the preferred cities in which to host the conference?
What is the ideal venue? Hotels, exhibition center or resort area?
 
When we planned the first CHEI Teaching Conference in 2014, we started  eight or nine months prior to the conference. We took advantage of every opportunity during school visits to ask administrators and front-line teachers questions about what they were interested in learning, what challenges they had and how we could help them, etc. All of this first-hand information gave us a very good understanding when we built the agenda later on.
 
Other formats for gathering input, especially when you plan for the very first conference, include focus groups, surveys, inviting a group of key people for a webinar, etc.
 
Things got easier when we planned the second and third conferences because we were able to gather so much information during the conference through the survey.
 
Again, a needs analysis is a very important step for the whole planning process. It requires the work group members to brainstorm based on the information gathered. Please remember, if you plan the conference without knowing the needs of your audience, your conference will not be a great success.
